As our organization grows, we’re expanding and optimizing the systems that power our people, operations, and financial workflows. We’re looking for a hands-on Senior Business Systems Specialist to lead the rollout, integration, and ongoing administration of our internal business systems – from HRIS to finance and beyond.
The Senior Business Systems Specialist will own the lifecycle of key business applications at Levitate – including evaluation, implementation, integration, administration, and optimization. This individual will act as the bridge between business stakeholders (HR, Finance, Operations) and IT, ensuring new systems are implemented securely, configured effectively, and aligned with company goals and compliance standards (SOC2, HIPAA).
This is a cross-functional role ideal for someone who enjoys managing technical projects, optimizing processes, and directly administering systems once live. The ideal candidate will bring hands-on technical skills in system setup, data integrity, and integration management while also demonstrating strong project management and stakeholder coordination capabilities.
Responsibilities
Implementation & Project Management
- Lead end-to-end implementation of new SaaS platforms (e.g., HRIS, expense management, accounts payable, or procurement tools), partnering with internal stakeholders to ensure system design aligns with business needs.
- Manage vendor relationships, contracts, timelines, and budgets for system deployments.
- Define business and technical requirements with key stakeholders.
- Oversee data migration, integrations, and system testing prior to launch.
- Drive and communicate implementation progress, change management, documentation, and end-user training to ensure successful adoption.
System Administration & Support
- Serve as the primary admin for business-critical systems (e.g., HRIS, finance automation, asset management).
- Manage access controls, internal integrations (e.g., JumpCloud, Google Workspace), and user provisioning for assigned systems.
- Configure workflows, automation rules, and integrations between systems.
- Troubleshoot system issues, manage updates, and coordinate vendor support.
- Partner with Engineering or IT for more advanced technical integration work as needed.
Governance & Compliance
- Maintain system documentation, data flow diagrams, and change logs.
- Support operational readiness for audits and compliance efforts (SOC 2, HIPAA, etc).
- Ensure data integrity, privacy, and least-privilege access across all applications.
Optimization & Continuous Improvement
- Regularly assess system performance, user adoption, and process efficiency.
- Identify opportunities for automation and improved cross-system integrations.
- Recommend new technologies to enhance scalability, efficiency, and security.
Qualifications
Required
- 5+ years of experience in IT, business systems, or SaaS implementation roles.
- Proven track record leading implementation of HRIS, ERP, or finance systems (e.g., BambooHR, Rippling, NetSuite, Bill.com, Expensify).
- Strong understanding of user provisioning, and security administration.
- Hands-on experience integrating systems via APIs or similar processes.
- Excellent communication and project management skills.
Preferred
- Background in SaaS or startup environments where agility and ownership are key.
- Experience with compliance-driven environments (SOC2, HIPAA).
- Familiarity with data privacy, access control, and vendor management practices.
- Certifications in PMP or related fields a plus.
